This is a full time, 40 hour a week position; weekends required.
We are looking for an experienced applicant for the position of Assistant Manager at Valley River Humane Society. The role of the Assistant Manager is to collaborate with and assist in the duties outlined below. The Assistant Manager will work alongside the Shelter Manager and oversee and assist with the responsibilities of the Book-keeper and Receptionists. SPECIFIC DUTIES:
Office Manager Responsibilities
Supervisory Duties
Oversee day-to-day work of clerical and administrative staff in all departments.
Ensure that workloads are manageable with available staffing resources such as number of available employees and volunteers, time constraints, and equipment.
Act as a resource for staff by assisting with questions, concerns, and conflict resolution.
Receptionist Duties
Assist Receptionists, as needed, with any and all Front Desk responsibilities including, but not limited to answering the phone, providing best-in-class customer service, and scheduling appointments for adoptions, veterinary procedures, and animal transport.
Book-keeping Responsibilities
Manage the VRHS Quickbooks Accounting Program
Complete end-of-month reports.
Enter new donor information and update existing donor information.
Process Accounts Payable
Process and maintain personnel files
Collaborate with Accountant
Process Payroll for the Shelter and Thrift Store.
Banking
Make regular deposits for the Shelter and Thrift Store
Maintain and regulate Petty Cash
d. Manage Donations
Manage Paypal donations
Manage Donation boxes located in Cherokee and Clay counties: collect, deposit, and record cash donations
Shelter Management
Manage Inventory
Collaborate with Clinic, Laundry and Kennel Leads to generate a list of items to order on an as-needed basis.
Place orders with Vet Cove and other Suppliers.
Receive shipments, confirm receipts of items and collaborate with Leads to store items appropriately.
Manage Volunteers
Collaborate with Shelter Manager and Volunteer Organizer to accept, oversee, and assist Volunteers.
General Managerial Responsibilities
Assist Shelter Manager with any daily activities as needed or requested.
The salary range for this position is $30,000 – $40,000, with flexibility based on qualifications, experience, and other relevant factors.
APPLICANT REQUIREMENTS:
We are looking for applicants with 1 year of management/supervisory experience (preferably in non-profit work). Experience with Quickbooks is a requirement. Applicants should have a deep sense of compassion and a strong desire to help both animals and people, and the ability to maintain a positive work environment. Attention to details and strong communication skills are a requirement for this position along with the ability to multitask at a fast pace.
Reports to Kennel Manager. Must be a dog lover!
Maintain the facility and kennels in a clean and sanitary condition including complete
disinfection of every kennel daily following proper protocols for disease/infection
control.
Spot clean indoor and outdoor kennels throughout the day.
Provide the dogs with food and water following approved feeding protocols, making special note of dogs on specialized diets.
Maintain a daily check on the health and behavior of each dog and report any issues immediately to the Kennel Manager or if Kennel Manager is unavailable to the Clinic Manager.
Groom dogs, to include bathing, trimming, cutting nails, and removing mats/burrs from coat.
Socialize dogs in a manner consistent with their temperament and ability. Strive to build confidence, social skills, and friendly demeanor in all dogs both with other dogs and people.
Assess the temperament of each dog to facilitate finding the best possible placement for each dog.
Provide a safe, healthy, clean, and pleasant environment and facility for both the dogs and the public.
